ITS continues work alongside campus
partners to retire the OnBase platform
Updates to the OnBase Retirement Project and how we’re migrating business processes and content.

What’s happening
Earlier this year, ITS began work on a project to formally retire the Hyland OnBase platform, meaning all university business processes, workflows, forms, and documents are set to be migrated out of OnBase and into an alternative platform, with the majority being built in ServiceNow.
As work progresses, many university processes have been successfully developed in ServiceNow and rolled out in production for use by our community.
How process migrations work

Members from our project and development teams are meeting with process owners across the university to gather information about the content their areas maintain in OnBase.
Our developers then build out new content inside ServiceNow (or other alternative platforms), with attention to the needs of process owners and ensuring that original functionality is mirrored or improved.
Once development is completed, new content is tested and validated for approval or iteration by process owners. Once approved, it’s published live.
NAU to partner with Box as the university’s next document management system
A key component of the project is to implement a new document management system, or DMS. A document management system allows for autonomous and bulk document editing, storage, and access permissions at scale.
Because many university processes rely on the functionality provided by a DMS, this creates a subset of processes that are unable to be retired from OnBase until a new DMS is configured.
In September, the university selected Box as the new DMS to provide needed functionality to complete migrations and finalize the retirement of OnBase.
While currently in the early stages of licensing and procurement, we estimate that a full configuration and integration of Box will take approximately five to six months.
We’re working to expedite the process to the greatest extent that is appropriate and feasible. We’ll be sharing additional updates in the months to come regarding overall project status and the configuration of the new DMS.
