Overview

ITS provides a way for student employees to access Faculty/Staff resources (computers, shared drives, shared email accounts, etc.) by giving a student one of our three types of student employee accounts. The requirements of the student’s job determine the type of account a student needs. These accounts are not automatically issued and must be requested for a specific need because not every student employee needs one for his or her position. If a student receives a student employee account, it is to be used for the purpose of the student’s employment with NAU only.

Important Information for Supervisors and Student Employees:

  • The student employee is expected to use this account during their employment with NAU for work-related purposes. The student should not use this account for any student-related activities.
  • The student employee account must be expired by the supervisor or department when the student’s employment ends.
  • When the account is created, the student is required to update his or her password on NAU’s Password Change Website to access their new student employee account.
  • These accounts help departments assign, maintain, and terminate access to resources like computers, shared drives, shared email accounts, etc. with little to no impact on the student’s educational accounts.
  • These accounts are not a replacement but additional accounts to accompany the student’s normal account.

Student Employee Account Comparison

There are three main types of accounts available to student employees.

  • Student Employee Group Only
  • Student Employee with Skype for Business
  • Limited Exchange Student Employee

  • The student’s home drive will be mapped automatically
  • The student may use their account to access the shared drives and other services where access has been granted. Requests to these resources must be done separately via a ServiceNow ticket.

Student Employee with Skype for Business Accordion Closed

  • The student will use this account to log onto office computers using NAU\[student’s UID].
  • The student’s home drive will be mapped automatically
  • The student may use their account to access the shared drives and other services where access has been granted. Requests to these resources must be done separately via a ServiceNow ticket.
  • Access to Microsoft Skype for Business for telephony.
    • Note: ITS recommends using Microsoft Teams for instant messaging communications instead of Skype for Business.

Limited Exchange Student Employee Accordion Closed

  • The student will use this account to log onto office computers using NAU\[student’s UID].
  • The student’s home drive will be mapped automatically
  • The student may use their account to access the shared drives and other services where access has been granted. Requests to these resources must be done separately via a ServiceNow ticket.
  • Access to Microsoft Skype for Business for telephony.
    • Note: ITS recommends using Microsoft Teams for instant messaging communications instead of Skype for Business.
  • This account is not meant to be used for email communications outside of NAU’s Exchange environment.
  • This account is published in the NAU Exchange global address list, so it is possible for student-related emails to be directed to this account by other NAU Exchange users. The student will appear in the NAU Exchange global address list in the form of “SW – First Last” for internal communication and Exchange permissions.
  • The student must check the email in their Limited Exchange account regularly for course-related emails. The student is responsible for forwarding any non-work-related email that they wish to keep to their student NAU Gmail account.
  • Students who are required to send emails out for the job should use a shared mailbox.
  • Students will not have or be given a first.last@nau.edu email alias

 

Account Expiration

Student Accounts are required to be renewed yearly beginning June 1st every year. Supervisors will need to contact the Service Desk at 928-523-3335 or submit a ServiceNow ticket to renew their student’s IRIS account.

Note for Limited Exchange Student Employee accounts:

  • A notification will be sent to the student and their supervisor on May 1st.
  • All email in the account is deleted 6 months after the account expires.
