Qualtrics is a surveying tool, often used for sampling and questionnaires. NAU students can use Qualtrics by logging into qualtrics.nau.edu with their NAU username and password.

NAU students can take advantage of online learning through the university’s partnership with Udemy.
Cisco Secure Client (NAU VPN)
NAU students can access the NAU VPN through the Cisco Secure application.

NAU provides software, applications, and a virtual desktop through apps.nau.edu. This service is a cloud computing environment that offers a suite of approved applications, software, and even a full virtual desktop available to NAU users for free. Software Purchasing
Acquiring new software at NAU
NAU requires that software acquisition must have terms of service/conditions agreed to by a contract signature authority, as well as a multi-departmental evaluation of the desired software. These requirements allow the university to evaluate data and security compliance, legally enforcable obligations, accessibility concerns, student and financial impact, as well as service redundancy.
These requirements mean that NAU users are not permitted to use their NAU credentials with any software not acquired. Failure to comply with these requirements will result in the software being disabled, blocked, or removed.
Examples of software that meet the needs to be acquired (including, but not limited to).

Software downloaded from the internet;

Software downloaded from an official app store;

Online Software as a Service (SaaS) like Chat GPT, MailChimp, or Salesforce;

Browser extensions like AdBlock or Grammarly;
-
In-app plugins to enterprise software, like the ‘apps’ tab in Microsoft Teams;
-
Free software;
-
Open source software.
Steps to acquire software
To ensure the above requirements are met, the following steps must be completed.
Step 1
Submit a purchase request
You’ll use ServiceNow to submit a purchase request for the desired software.
Purchase requests for software acquisitions get routed through NAU contracts and purchasing so that the appropriate contract signature authority can agree to terms of service/conditions.
Step 2
Submit an ITS Checklist
You’ll also need to complete the ITS Checklist—an OnBase form that asks questions about the desired software.

Tips for success as you begin the process
- Define the scope of the software (individual, departmental, enterprise, educational, research, etc.);
- Review Data Classifications and know what data types the software will interact with.;
- Reach out internally to departmental leadership and/or business analysts before beginning the process;
- Gather any necessary HECVAT/VPAT/ACR/Vendor Question forms, depending on the scope of the software;
- Respond to requests for additional information, if asked.

Once you complete the steps above, you’ll standby for the necessary approvals and evaluations to be completed. Time required to process the Purchase Request and ITS Checklist varies depending on data and security factors, legally enforceable obligations, accessibility concerns, student and financial impact, and if the functionality is provided by an existing software.

Software deadlines
Deadlines to request software for instructional use
As instructors prepare for upcoming semesters, please note that the software needed for instruction may not be installed in the learning spaces where your class is held. To ensure that your software is installed and working properly before the semester begins, you must go through the software request process and complete the necessary steps by the deadlines listed below. Any software requests submitted after these deadlines may not be ready by the start of the semester.
Deadlines for Spring Semester
November 1st – The software checklist must be submitted by this date.
December 1st – The software checklist must be approved, the software purchased, and any associated license information must be provided to ITS.
Deadlines for Fall Semester
March 1st – The software checklist must be submitted by this date.
May 1st – The software checklist must be approved, the software purchased, and any associated license information must be provided to ITS.
Deadlines for Summer and Winter Semesters
The software checklist must be approved, the software purchased, and any associated license information must be provided to ITS one month before the start of the term.
