Here, faculty can find resources managed by the Office of the Registrar, including adjusting students’ enrollment and grade changes.

Administrative Drop

An instructor may drop a student from a class if the student does not meet the prerequisites and/or has never attended, as outlined by the Administrative Drop Policy.

Administrative Dropping students who are not attending opens seats for waitlisted students, prevents unnecessary tuition charges, prevents failing grades from being assigned for courses they did not attend, ensures timely compliance with federal financial aid return requirements, and supports the removal of fraudulent enrollments.

How to Administratively Drop:

  • Log into LOUIE
  • Click Faculty Center
  • Select Admin Drop
  • Choose the class
  • Select the students to drop
  • Select a reason
  • Click Admin Drop

Administrative Add

An instructor may use the Administrative Add function to add a student to a class. Examples of appropriate use include fulfilling graduation requirements or swapping a student into a class for which requisites are met. Students may be added via Student Search, the Dropped Student list, or the Waitlist.

Administrative Adds override all enrollment restrictions, including the waitlist, and must follow each academic unit’s guidelines. If the action overrides the waitlist, consult your academic chain of approval before submitting the request.

  • Log into LOUIE
  • Click Faculty Center
  • Select Admin Add

Deadlines for Administrative Requests

  • Deadlines are listed on the Session Deadlines Calendar.
  • Requests must be submitted one calendar day prior to the add deadline for each session.
  • Shorter session classes have prorated deadlines and do not follow the 16-week timeline.
  • Dynamically Dated Session deadlines may differ from regular sessions. View the Dynamically Dated Session Deadlines for more information.

Administrative requests submitted after the deadline will not be processed.

Changing a grade

If grades have already been posted by the Registrar’s Office (the deadline for grade submission has passed) submit an Electronic Change of Grade Form.

If grades have not been posted by the Registrar’s Office (before the deadline for grade submission):

  • You can return to your grade roster to make changes.
  • Change the status of the roster from “approved” to “not reviewed.”
  • Make necessary changes and save.
  • Change the status of the roster back to “approved” and save again.

You can do this as many times as necessary before the grading deadline.

Late Grade Submission

Submit grade rosters after the deadline using online submission.

FERPA

The Family Educational Rights and Privacy Act of 1974 (FERPA), is a federal law designed to protect the privacy of education records, to establish the right of students to inspect and review their education records, and to provide guidelines for the correction of inaccurate and misleading data through informal and formal hearings. Schedule of Classes

The Registrar’s Office—Schedule of Classes (SoC) is an internal resource for department leaders and faculty.

The SoC’s two main roles are to help units plan and place their classes, in time and space; and to ensure that classes fulfill the descriptions/formats approved by curriculum authorities.
