Key requests
- Most key requests (individual/department key requests, key transfers, key return, Torus access request, lost/stolen keys) can be submitted electronically via the TMA iService Desk (or by clicking on the “Work Request” link at the upper right of any Facility Services webpage). Go to our Instructions page for detailed guidance on using the key request form for the various specific requests.
- Grand Master Keys [DEFINITION?] should be requested using the dedicated OnBase form.
- Keys for Outside Vendors & Contractors who require NAU property access should be requested by submitting this form to BAS [IN PERSON?]. Vendors/contractors take responsibility for re-keying costs if the keys are lost or not returned by the expiration date.
- All key requests are subject to the current Lock shop/Key Control policy.

Lost or stolen keys Accordion Closed
Lost or stolen keys must be reported to the NAU Police Department and BAS within 24 hours of the loss discovery. Please include the following information:
- Name
- Employee ID
- Department code
- Key type (building, floor/area, individual room or office)
- PO or agency/org information
The NAU Police Department conducts an investigation for each instance of lost or stolen key(s). Keyholders are responsible for control and security of issued keys, and may be held liable for charges relating to lost, stolen, or unreturned key(s).
Key transfers Accordion Closed
When requested, keys are authorized for transfer from one employee to another within the same department.
Departmental keys Accordion Closed
Keys used by several people within a department are the responsibility of the authorized department representative. Charges for lost or stolen department keys are the department’s responsibility.
Key authorizers Accordion Closed
The following unit administrators control key issuance to individuals within their assigned area:
- President
- Provost of university
- Vice presidents
- Vice provosts
- Deans
- Directors
- Department heads or chairs
- Personnel designated by one of the above
This authority is recognized by a submitted key authorization form. Key distribution requires approval from an authorized unit administrator. [IS THIS ACCURATE???]
