Payroll information for exiting employees

Your final paycheck

Your final paycheck will be paid on the next regular payday according to the payroll schedule.

  • If you are currently being paid through direct deposit or through an NAU pay card, your final check will also be a direct deposit to your account.
    • If you have a new bank or bank account, you may update your information through Employee Self Service in  LOUIE – HR. 
    • This change needs to be made by the end of the day on Sunday prior to pay day Friday.
    • If you intend to close your bank account, do not do so until you have successfully received your last paycheck. If your bank account is closed before we direct deposit your check, your final paycheck will be delayed and might need to be printed as a paper check for pick-up in our office.
  • If you are entitled to vacation pay out, it will be included on your final check. Up to one year’s worth of unused vacation can be paid out upon separation.
    • Make sure you have notified your supervisor or department, preferably in writing. Your department will then need to submit an ePAR notifying us of your departure. If this ePAR is not submitted in a timely manner, your vacation payout could be delayed.
    • To expedite the payment of vacation hours on the final check, turn in all outstanding ROAs and Timesheets, so that the correct vacation pay out can be calculated.  If this paperwork is not received in time, the vacation pay out may be delayed for one or more pay periods.
  • All accrued compensatory time will be paid out on your final paycheck.
    • Like with vacation, please make sure all ROAs and Timesheets are turned in prior to payroll processing deadlines to prevent a delay in your pay out.
    • If you work overtime in the pay period containing your last day, it must be paid out as cash and not accrued as comp time.
  • Unused sick leave, paid flex time, and other leave time not specified above will not be paid out. If you are retiring, you can inquire about your eligibility for the Retiree Accumulated Sick Leave (RASL) program.

  • Your paycheck history will be visible through Employee Self Service in LOUIE – HR.
  • .  If you are unable to view your paychecks, contact the ITS solution center at (928) 523-1511 for assistance.

W-2 information

  • For unlimited access to your W-2 from February until October, sign up for Electronic Delivery of your form W-2.  This is the safe and secure way to have your W-2 whenever you need it.

Questions about your final check

  • If you have questions about your final check, contact your supervisor or department.  They will research and contact Human Resources to process any corrections.
