New Hire Packet
The New Hire Packet (also known as Hire Xpress) is a two-part process that collects the necessary employment identity, work authorization, and other information needed to set up new employees in the NAU system. New hire packets are completed in the NAU Employment Center.
If the employee is going to be working from a remote location or online outside the State of Arizona, within the United States, please ensure they are listed as a Remote/Out of State employee on the Onboarding case request to the HR Employee Lifecycle team.
How it works Accordion Closed
- Once the Onboarding case form has been initiated, the HR Employee Lifecycle team will initiate the New Hire Packet by utilizing a few pieces of information about the employee.
- An email with the log-in information is sent to the new employee. The employee will log into the NAU Employment Center and provides the necessary information by entering the data into the online hire forms.
- When the employee completes the online portion of the New Hire Packet, they will then present their original employment identity and authorization documents to the Human Resources office to complete their Form I-9. Once the identification is recorded, the New Hire Packet details are then uploaded into LOUIE – HR.

When is a New Hire Packet needed? Accordion Closed
A New Hire Packet will be needed if an employee is brand new to the University as an employee or if they have not been employed within the last 6 months. The Form I-9 will be need to be recompleted as well.
When does the New Hire Packet and Form I-9 need to be completed? Accordion Closed
We recommend that the employee completes the New Hire Packet as soon as they receive it, then complete their Form I-9 on their first day working. The employee should not start working if they have not completed the online portion of the New Hire Packet, but they have three business days after their start date to complete the Form I-9.
What if our employee is out of state? Accordion Closed
When submitting the Onboarding case, ensure you answer “Yes” to the out of state question and that that the Out of State Approval Form has been fully completed and approved before submitting the case.
The HR Employee Lifecycle team will provide resources for out of state hires needing to complete a new hire packet.

What if our employee does not have an email account? Accordion Closed
You can assist the employee with setting up a free email through ‘Yahoo’, ‘Gmail’, or other internet providers.
Can my employee present copies of the employment identity and authorization documents to complete their Form I-9? Accordion Closed
All documents must be original and unexpired to complete a Form I-9 requirement. However, employees may be asked to provide scans or images of their documents if they use the Virtual I-9 service. They will still need to show the original and unexpired documents for the in-person meeting.
After the New Hire Packet and Form I-9 is completed, does the employee automatically receive access to the system? Accordion Closed
Most employees will have access to NAU systems once their Hire ePAR has been approved, which normally occurs after the New Hire Packet has been completed.

The HR Employee Lifecycle team will advise you if a new hire packet is needed after they receive the onboarding ticket.
What if my employee never comes into work? Accordion Closed
Notify your HR Employee Lifecycle team member through the Onboarding case and the appropriate steps will be taken to cancel the New Hire Packet.
