Best practices – before submitting a Flexible Workplace Options Request

Workplace Assignment Guidelines:
Follow the Workplace Assignment guidelines below prior to approving a Flexible Workplace Options Request.
- Based on space availability and work schedules, university employees may be assigned a dedicated workspace or need to share an office or workspace on-site.
- Fully remote employees are not assigned an office space and may need to use “swing-space” or reserve a conference room when they need to work on-site.
- Individuals working 3 to 4 days remote, or are working the majority of their standard work week remote, will need to work with their supervisor on shared or “swing-space” workstation while on-site

Steps to submit a Flexible Workplace Options Request
Step 1. Agreement
Have an agreed upon Flexible Workplace Options Request between the employee and supervisor.
Step 2. Request form
The employee or supervisor can submit the request using the Flexible Workplace Options Request (OnBase form).
- Within the form complete the required fields. Please do not include any personal or medical information in the notes section.
- Include work schedule details such as work days, hours, or any flexible work arrangements in the provided text box.
- By clicking submit as the employee you approve the request and it moves forward to your supervisor
- the supervisor reviews to approve or deny.
- If approved the request moves to the next level supervisor up to the Associate Vice President and/or Dean level for final approval.
- If denied, the request is not longer active and a new request is needed.

Step 3. Evaluate and communicate
Identified regular work schedules should be evaluated often to address any needed changes. A schedule change that is consistent and on-going will require a new Flexible Workplace Options Request.
When and how often to submit a new Flexible Workplace Options Request?
- At the beginning of the new fiscal year (July 1st)
- When an employee has a change in supervisor
- When an employee has a long term and consistent change to their work schedule.
- Temporary and short term changes can be discussed and agreed upon between the employee and supervisor.

Requests & Reporting Features
Supervisors and next level supervisors can monitor the progress of requests, whether they are completed or in progress. Each level of the chain of command has visibility to see request details relevant to their scope of supervision.
Report Access:
Access levels
- Supervisors: Can view requests from their direct reports.
- Department Heads: Can view requests from all department requests within their reporting line.
- Vice Presidents/Provosts: Can view all division requests within their reporting line.
- Employees: Can view their own requests.
Report Features:
- Requests: See individual requests details.
- Interactive data: Charts breakdown of request types. Hover for exact numbers and percentages.
- Sort: Click column headers to re-sort data.
- Export Data: Click the document icon at the top right of the Report Detail section to to export data to Excel or PDF.
