We want you to know that we’re here to support you every step of the way. We have provided some resources to help you shine in your presentations. Hotels
Hotels will be covered as part of your RSVP. Presenters will stay at the Drury Inn, conveniently located next to the High Country Conference Center.
Drury Inn – Check-in time: 3 pm
Check-in: Your hotel stay has already been booked. To check in, arrive at your hotel front desk and provide your name, ID, and a credit card. This card is for incidentals and will not be charged for the room rate.
Meals
Dinner, breakfast, and lunch will be provided.

The Arizona GEAR UP Convening of Partners will be held at High Country Conference Center located at 201 W Butler Ave, Flagstaff, AZ 86001
Events will be taking place in the Main Building of the High Country Conference Center.

Directions and Parking Accordion Closed
To reach the High Country Conference Center, go north on Milton Rd and turn right onto Butler Ave. After that, turn right again onto Humphry Street, and you’ll see signs guiding you to the entrance of the High Country Conference Garage Structure.
Parking
Free parking will be available at your assigned hotel and at the High Country Conference Center Parking Structure.
Presentation Logistics Accordion Closed
We have arranged for your upcoming session to take place in a traditional conference room setting. In this room, you will find tabletops set up in groups of 6-8. You will have a podium, microphone, and projector with standard HDMI inputs. Please let us know if you need an adapter or any other equipment.
Each session will have a dedicated GEAR UP member available to help with any questions.

Presentation Tips Accordion Closed
- Familiarize Yourself with the Venue: Explore the presentation room in advance to get comfortable with the space and layout. Test out the microphone and any other equipment you’ll be using.
- Backup Your Presentation: Always have a backup plan for your presentation materials. Save your presentation on a USB drive or cloud storage as a precaution.
- Tech Troubleshooting Kit: Although you will be provided with the basics, pack a small kit with essentials like extra charging cables, an extension cord, and adapters. This can be a lifesaver if you encounter unexpected tech issues.
- Dress Comfortably: Choose comfortable attire that aligns with the event. Bring an extra outfit in case of spills or unexpected wardrobe malfunctions.
- Water and Snacks: You will be provided water bottles for your presentation, but packing a snack or two could help. Presenting can be thirsty work, and a little sustenance can help you stay energized.
- Notes or Cue Cards: Even if you know your material well, it’s helpful to have notes or cue cards in case you need a quick reference during your presentation.
- Engage with Your Audience: Make an effort to connect with your audience on a personal level. Smile, make eye contact, and use relatable anecdotes. We’re all in this together.
- Manage Your Time: Keep track of your time to ensure you stay within your allocated presentation slot. You don’t want to rush through your content or run over time.
- Practice Deep Breathing: If you get nervous, practice deep breathing techniques to calm your nerves before and during your presentation.
- Stay Flexible: Be prepared to adapt if things don’t go as planned. Technical glitches or unexpected questions can arise, so stay flexible and composed.
