Pilot Insurance Coverage

A University employee using personal aircraft on University business and within the course and scope of his/her authorized University duties is provided aircraft liability coverage on a secondary basis through the Department of Administration, Risk Management Division under Arizona revised Statutes §41-621 et seq. once his/her Pilot Application has been approved by the State.

In addition to the State’s Minimum Pilot Qualification requirements and Arizona Administrative Code R2-10-107.D, State Risk Management requires payment through an annual assessment to the University for Aircraft Liability Insurance.  The insurance charge covers any number of flights during the fiscal year.  University departments or colleges are responsible for payment of the assessment.  Payment of the insurance assessment does not waive or replace the mandatory minimum $1,000,000 of primary aircraft liability coverage by the employee.  No coverage for damage or loss to employee-owned aircraft is provided by Northern Arizona University or the State Risk Management.

Requirements for Pilot Approval:
Pilots must meet the State’s Minimum Pilot Qualifications for the type of aircraft used.  Pilots must obtain written authorization from their Dean and Vice President to operate aircraft on NAU business since this will impact their departmental budget.

Additional requirements include:

  • The pilot will not exceed either the seating or weight capacity of the aircraft.
  • All aircraft used by University employees or non-University employees, including registered volunteers and others acting as agents of the University, will comply with all applicable laws and regulations.
  • All the above applies to non-University pilots and crewmembers when piloting on authorized University business an employee-owned aircraft for a University employee.

There is no University or State coverage for the following:

  • Personal use of aircraft
  • Aircraft for hire or commercial use
  • External loads
  • Aerial Acrobatics
  • Flying without prior State approval and/or payment of the assessment

The State considers any University employee using his/her aircraft in any of the above situations to be outside the course and scope of his/her employment or University authorization.
