Campus Services – Surplus Property
The University is required by law to maximize the use of all assets and, when no longer needed, maximize the return on their sale. University property cannot be given away or discarded. The Surplus Property department is the only University department authorized to dispose of University property.
The primary role of Surplus Property is to ensure that excess property is compliant with applicable regulations and policies and is managed in a way that maximizes value for the University. Below are procedures to submit a Disposal Request:
1. Pick-Ups and Drop-Offs
Surplus Property accepts excess property and equipment that departments no longer need. Process for disposal:
- Gather items in one area.
- Confirm with appropriate departmental leadership that items are no longer needed for department use.
- Ensure all computers and data-sensitive equipment are properly wiped before sending to Surplus Property.
- Empty desks and file cabinets completely.
- Submit a disposal request through WebData 2.0.
- Contact Surplus Property at 928-523-4163 or NAU-PropertySurplus@nau.edu during business hours to schedule a pick-up or drop-off.
- Public sale hours are 12:00 p.m. – 4:00 p.m.
- Pick-ups and drop-offs can only be scheduled 8:00 a.m. – 11:00 a.m.
- Large pickups may require the department to create a service ticket for Moving Services. These services may be billable. An appointment with Surplus Property is required before scheduling movers.
2. Disposal Fees
Surplus Property prioritizes the sale or recycling of materials whenever possible. However, certain items require disposal through outside vendors due to environmental safety regulations. In such cases, associated disposal fees may be charged to the initiating department. Examples include (but are not limited to):
- Refrigerators
- CRT monitors
- Televisions
3. Department Purchases
Surplus Property offers cost-effective alternatives to buying new equipment. Visit the warehouse (Building 77) during public hours, Monday–Friday, 12:00 p.m. – 4:00 p.m. Special appointments outside of public hours can be arranged.
4. Credits to Departments
Departments may receive credit when a single item is sold for more than $2,000 (before tax). Surplus retains the first $2,000 plus a percentage of the remaining balance.
If a department requests the return of an item already delivered to Surplus, a return fee will apply.
If a department would like an item returned that has already been picked up and delivered to Property Surplus there will be a return charge.
Items Not Accepted by Property Surplus
The following items cannot be taken by Surplus:
- Telephones (return to Telecomm)
- Mattresses and bedding
- Weapons and ammunition
- Hazardous or flammable materials without an Equipment Release Form
- Food, drugs, or alcohol
Contact Surplus Property for proper disposal procedures for these items.
Additional Disposal Guidelines
- Broken equipment, furniture, and scrap metal must be sent to Surplus Property for proper disposal (recycling fees may apply).
- Surplus Property will forward used toner cartridges, light bulbs, and batteries to the appropriate disposal sites on campus.
