Claude at NAU is Changing
NAU is launching a managed Claude Enterprise environment in July 2026.
This change may impact Anthropic Claude accounts or workspaces connected to an NAU email address.
What you need to know:
- Individual Anthropic Claude accounts (ie Free/Pro/Max/Team/etc) using an NAU email address DO NOT have enterprise-level data protections. You can only use level 1 data with Anthropic Claude accounts.
- You are required to transitioned to Claude Enterprise if:
- you need to use Claude with levels 2-3 data
- you want to utilize any connectors with Claude
- NOTE: Not all accounts are eligible to transition to Claude Enterprise
- Claude Enterprise accounts will require both a yearly subscription and a monthly credit allowance.

Personal and students accounts are not eligible for Claude Enterprise.
- For personal Claude usage: It’s recommended that you create a new account with a personal email address. Claude does not allow email address changes, so you’ll need a new account.
- To save your current Claude data/information, you’ll need to export it before the deadline.
NOTE: Exported data cannot be uploaded to another account. It is merely a way for you to save your conversations/data for your personal use/reference.

- Student employees: If you need Claude for your employment role, your department can sponsor Claude Enterprise access on your behalf.
When NAU domain claims with Anthropic (date TBD), these accounts will be deactivated. Once an Anthropic Claude account is deactivated, it cannot be accessed and data cannot be retrieved. THIS CANNOT BE UNDONE.
Standalone Anthropic Claude accounts (Free/Pro/Max/Teams) can be transitioned to NAU Claude Enterprise accounts with a seat and usage purchased through the NAU Software Management team.

What can you do with Copilot (Premium)?
- Ideal for: individuals working heavily in Microsoft 365 apps
- AI integrated into Word, Excel, Outlook, Teams, and PowerPoint
- Claude AI models are included inside Copilot (with no extra monthly usage fees).
- This is not the same thing as a Claude Enterprise account.
- Microsoft Graph/Work IQ: Unlike Copilot Chat, the paid license connects to your organizational data — emails, documents, meetings, and chats —
through Microsoft Graph/Work IQ, so answers are specific to your actual NAU work context. - Analyze and Explain Data in Excel: Ask questions about your spreadsheet data in plain English, generate formulas, identify trends, build charts, and receive clear

When should I choose Claude Enterprise as my AI Tool?
If the majority of the work you perform happens within Word, Excel, PowerPoint, Outlook or Teams, then ITS recommends you consider M365 Copilot (Premium) as the more cost-effective option. Claude Enterprise is recommended for individuals whose primary work is conducted outside of Microsoft 365 apps who also need specific Claude features.
If the following describes your daily workflow, then Claude Enterprise may be the right option for you:
- You need to use Claude with levels 1-3 data
- Claude Enterprise accounts are allowed level 1-3 data usage.
- Any other type of Claude account is allowed level 1 data usage only
- Analyze contracts, research papers, policy docs, or technical reports
- Write, review, or debug code; agentic development with Claude Code
- Build, deploy, or automate with Claude Code in a developer workflow
- Multi-session project work organized around a defined research question
- Analyze or model large institutional datasets requiring secure data handling

What is Changing?
NAU is now able to offer Claude Enterprise subscriptions. Claude Enterprise subscriptions provide enterprise-level data protections, allowing you to use level 2-3 data and Claude connectors that tie into NAU data.
IMPORTANT: Logging into Claude with your NAU email does NOT mean you have a Claude Enterprise subscription.
Claude Enterprise – Costs & Billing
Claude Enterprise billing works differently than standalone/consumer accounts. It requires both a paid yearly subscription AND monthly usage credit purchases. Claude Enterprise usage is billed monthly to your department’s speedchart. Departments set a monthly spending cap for each user, so costs stay predictable and no one can exceed their department’s approved budget.
About the yearly subscription:
- This is a “seat license,” purchased through NAU ITS; license term follows NAU’s fiscal year (July – June).
- Cost is prorated quarterly; billing occurs when the individual is added into Claude Enterprise.
- The purchase of a yearly subscription does not include any usage credits. In other words, purchasing a subscription doesn’t let you actually use Claude; it is essentially a seat/license fee required to have access to a Claude Enterprise account.
About the monthly usage credits and cost:
- An additional monthly usage credit purchase is required in order to actually use your Claude Enterprise account. This is billed directly to the speedchart provided by the department, based on actual consumption.
- Departments will control costs by working with ITS to designate a monthly allowance cap for teams/individuals in their Claude Enterprise group.
- Teams/individuals cannot exceed their monthly allowance cap.
- Caps can be adjusted if additional usage is needed for specific projects.
- How are monthly usage costs calculated? Claude Enterprise monthly usage is charged at Claude’s API Rates, with usage costs that scale with model and task.

About the Domain Claim Process
A domain claim allows NAU to manage all Claude accounts that use an @nau.edu email address. At a future date, NAU plans to claim its domain with Claude. When this happens, any Claude account or workspace tied to an NAU email address must either move into the managed Claude Enterprise environment or be deactivated — there is no in-between state. Personal Claude accounts using an NAU email address cannot remain separate after the domain is claimed.
When the domain claim occurs (date TBD), every account tied to an NAU email address receives two notifications: an in-Claude banner and a direct email from Claude. You’ll have 30 days to export your data and/or migrate to Claude Enterprise before the account is deactivated. Any active Pro or Max subscription tied to an NAU email address is automatically canceled as part of the domain claim. You’ll receive a prorated refund for the unused portion of your subscription, plus a refund of any remaining usage credits.
The one exception is subscriptions purchased through the Apple App Store — Anthropic cannot cancel or refund these directly. You’ll need to cancel it yourself:
- Open the Settings app on your iPhone or iPad.
- Tap your name at the top, then tap “Subscriptions.”
- Find your Claude subscription and tap “Cancel Subscription.”
If you don’t cancel your App Store subscription yourself, Apple will continue charging you even after your Claude account has been deactivated and you can no longer access it.
Any account using an NAU email address that hasn’t moved to Claude Enterprise before the October 31st deadline will be deactivated. This cannot be undone — once an account is deactivated, its data cannot be accessed or recovered.
What happens to an existing subscription depends on how it was purchased:
- If you subscribed directly through Anthropic and transition to Claude Enterprise, your old subscription is automatically canceled when your account is migrated.
- If you subscribed directly through Anthropic and do not transition, your subscription is automatically canceled when the domain is claimed.
- If you subscribed through the Apple App Store, you must cancel it yourself — NAU and Anthropic cannot cancel app-store subscriptions on your behalf. If you don’t cancel it, you may continue to be charged for an account you can no longer access.
