{"id":8098,"date":"2026-07-15T19:19:09","date_gmt":"2026-07-15T19:19:09","guid":{"rendered":"https:\/\/in.nau.edu\/web\/?page_id=8098"},"modified":"2026-08-20T00:54:26","modified_gmt":"2026-08-20T00:54:26","slug":"insite-network-web-standard","status":"publish","type":"page","link":"https:\/\/in.nau.edu\/web\/insite-network-web-standard\/","title":{"rendered":"NAU In-Site Network Web Standard"},"content":{"rendered":"<h1>NAU In-Site Network Web Standard 2026<\/h1>\n<p><span data-contrast=\"auto\">This document is for the sole purpose of defining maintenance, configuration, and access to WordPress on the in.nau.edu network of sites (referred to as the NAU In-Site Network) and is effective from August 1, 2026 and will be reviewed annually.\u00a0 <\/span><span data-ccp-props=\"{}\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"auto\">The NAU In-site Network lives on in.nau.edu and consists of proprietary software owned by Information Technology Services (ITS) and managed by the ITS WordPress team. Access is subject to user compliance with assigned roles and best practices as defined by ITS subject matter experts.\u00a0<\/span><span data-ccp-props=\"{}\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"auto\">Standard will be revisited annually by the ITS WordPress team based on evolving practices and expectations. <\/span><\/p>\n<h2>Scope<\/h2>\n<p>This standard applies to all sites that live on the in.nau.edu subdomain (In-site Network).<\/p>\n<hr role=\"separator\" class=\"hr--transparent hr--transparent-30px not-in-view\">\n<h2 id=\"roles\">Roles &amp; Responsibilities<\/h2>\n<h3>Editors<\/h3>\n<p>NAU employees with access to edit content on an in.nau.edu WordPress site. Ability to edit, create, delete, and update pages, posts, categories, and tags.<\/p>\n<ul>\n<li>Required to complete basic WordPress training via <a href=\"https:\/\/servicenow.nau.edu\/sp?id=catalog_item&amp;sys_id=a0f5bd07db552c902603266e139619c0&amp;sysparm_category=5745612d33e7b29057d682255d5c7b38&amp;referrer=related_items\">sandbox site<\/a> and supplemental theme training:\n<ul>\n<li><a href=\"https:\/\/in.nau.edu\/web\/training\/\">Enterprise theme training<\/a><\/li>\n<li><a href=\"https:\/\/in.nau.edu\/web-user-guide\/\">M21 theme training<\/a><\/li>\n<\/ul>\n<\/li>\n<li>Access reviewed annually and approved by site owner.<\/li>\n<li>Receives email notifications when pages haven\u2019t been updated in a year. Emails will include additional documentation and a link to a \u201ccontent freshness\u201d dashboard for sites editor has access to. Pages are required to be updated yearly, and pages out of compliance will be retired and set to \u201cdraft\u201d with specific deadlines described in notification.<\/li>\n<\/ul>\n<div class=\"eplus-bg-color-row bg-color-extra-light-gray\"><div class=\"eplus-bg-color-row-content\">The most important responsibility for a WordPress editor is to keep their content up to date. Editors must review content annually to ensure that it is relevant.<br \/>\n<\/div><\/div>\n<hr role=\"separator\" class=\"hr--transparent hr--transparent-30px not-in-view\">\n<h3>Site Owners<\/h3>\n<p>NAU employees responsible for the content on a given site and for identifying and approving the users who have access to edit the site. Each site may have only one site owner.<\/p>\n<p>All the requirements and responsibilities of an Editor plus:<\/p>\n<ul>\n<li>Serves as the single point of contact for a site.<\/li>\n<li>Must be defined when a new site is requested. If there is no existing site owner, one will be defined.<\/li>\n<li>Must not be a temporary employee, such as a student worker, affiliate, or contractor.<\/li>\n<li>Reviews and approves user access\n<ul>\n<li>Receives email notifications to review Editor user access periodically.<\/li>\n<li>Users who have not been confirmed by the site owner during review will be removed.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<hr role=\"separator\" class=\"hr--transparent hr--transparent-30px not-in-view\">\n<h3>Division Web Portfolio Manager<\/h3>\n<p>Large divisions will be supported in website management by the Division Web Portfolio Manager role. This role helps oversee and coordinate site content with site owners and are designated by division senior leadership (Vice President\/Senior Vice President).<\/p>\n<ul>\n<li>May also serve as site owners and site editors.<\/li>\n<li>Ensures the division\u2019s priorities are reflected in the work of the site owners\/editors. Serves as ITS\u2019s point of contact for the division and secures input from senior division leadership when appropriate.<\/li>\n<li>Must be familiar with WordPress publishing best practices.<\/li>\n<li>Approves and engages division site owners.<\/li>\n<li>Identifies new site owners as needed.<\/li>\n<li>May work with site owners to validate content accuracy or\/and provide direction on site content to site owners.<\/li>\n<\/ul>\n<hr role=\"separator\" class=\"hr--transparent hr--transparent-30px not-in-view\">\n<h3>Additional roles<\/h3>\n<p>Access to edit tables, forms, and the menu can be requested in addition to the editor role.<\/p>\n<ul>\n<li>Table Manager: Can edit and embed tables into posts and pages using TablePress.<\/li>\n<li>Forms Manager: Can add and edit forms within the site using Gravity Forms.<\/li>\n<li>Menu Manager: Can add and edit menu items within the site. Only the highest-level role for a site (either Division Web Portfolio Manager or Site Owner) may be a menu manager.<\/li>\n<\/ul>\n<hr role=\"separator\" class=\"hr--transparent hr--transparent-30px not-in-view\">\n<h3>ITS WordPress team<\/h3>\n<ul>\n<li>Manages and provides access to WordPress sites for editors, site owners, and unit web coordinators.<\/li>\n<li>Maintains Enterprise and Marketing 21 themes for use on in.nau.edu with UX, accessibility, and security in mind.<\/li>\n<li>Maintains Plugins used on in.nau.edu.<\/li>\n<li>Reports on user access and content audits based on date.<\/li>\n<li>Provides and maintains training materials on Enterprise and Marketing 21 theme components.<\/li>\n<\/ul>\n<div class=\"eplus-bg-color-row bg-color-extra-light-gray\"><div class=\"eplus-bg-color-row-content\">The ITS WordPress Team only supports WordPress sites that are on in.nau.edu or nau.edu. If you would like to suggest a new feature or changes to an existing component, please submit a <a href=\"https:\/\/servicenow.nau.edu\/sp?id=catalog_item&amp;sys_id=b3b56f4cdb1e02102603266e139619a3&amp;sysparm_category=5745612d33e7b29057d682255d5c7b38&amp;referrer=related_items\">General support and inquiries form<\/a>.<\/li>\n<\/ul>\n<h3>WordPress training and theme documentation<\/h3>\n<p>Reference Website Support for in-depth training resources and documentation relevant to WordPress on the In-Site network.<\/p>\n<hr role=\"separator\" class=\"hr--transparent hr--transparent-30px not-in-view\">\n<h2 id=\"reccs\">Recommendations<\/h2>\n<ul>\n<li>Content must be reviewed and verified at least annually. The ITS WordPress team will automate audits and email notifications to alert all WordPress users for a site when page content is older than 1 calendar year.<\/li>\n<li>Audits will be conducted in batches, with all sites being reviewed annually (in quarterly batches).<\/li>\n<li>If the page is not updated within the deadline described via email, it will be set to \u201cdraft\u201d and then deleted after a waiting period.
