{"id":11647,"date":"2026-07-30T23:02:00","date_gmt":"2026-07-30T23:02:00","guid":{"rendered":"https:\/\/in.nau.edu\/university-policy-library\/?page_id=11647"},"modified":"2026-07-30T23:05:37","modified_gmt":"2026-07-30T23:05:37","slug":"workspace-assignment","status":"publish","type":"page","link":"https:\/\/in.nau.edu\/university-policy-library\/workspace-assignment\/","title":{"rendered":"Workspace Assignment"},"content":{"rendered":"<h5>Campus Operations<\/h5>\n<h3>Workspace Assignment (Interim)<\/h3>\n<p><strong>Policy Owner:<\/strong> Vice President for Capital Planning and Capital Operations<br \/>\n<strong>Responsible Office:<\/strong> Space Management<br \/>\n<strong>Origination Date:<\/strong> July 30, 2026<br \/>\n<strong>Last Revised:<\/strong> n\/a<\/p>\n<h4><!-- shortcode-button -->\n<div class=\"shortcode-button shortcode-button--left\">\n      <a class=\"main-button\" href=\"https:\/\/in.nau.edu\/wp-content\/uploads\/sites\/395\/Workspace-Assignment-Final-INTERIM-Policy-Published-07.30.2026.pdf\">Click here for a printable pdf<\/a>\n  <\/div>\n<\/h4>\n<h4>Definitions<\/h4>\n<p style=\"font-weight: 400\"><strong><u>Dedicated Workspace:<\/u><\/strong> a workspace assigned to one employee.<\/p>\n<p style=\"font-weight: 400\"><strong><u>Shared\/Rotational Workspace:<\/u><\/strong> a workspace assigned to two or more employees who use it on different days or at different times.<\/p>\n<p style=\"font-weight: 400\"><strong><u>Touchdown Workspace:<\/u><\/strong> an unassigned workspace that can be reserved for short-term or occasional use.<\/p>\n<p style=\"font-weight: 400\"><strong><u>University Facilities:<\/u><\/strong> all buildings or other properties owned, operated, managed, or controlled by the University wherever located.<\/p>\n<h4>Policy<\/h4>\n<p>A.\u00a0\u00a0\u00a0 Scope<\/p>\n<ol>\n<li>\u00a0This policy applies to all University workspaces within University Facilities including any employee workspace designated by Space Management for individual, shared, rotational, occasional, or temporary work use.<\/li>\n<li>This policy does not apply to classrooms, event venues, research laboratories and spaces, or temporary structures.<\/li>\n<\/ol>\n<p>B.\u00a0\u00a0\u00a0 Workspace Ownership and Allocation<\/p>\n<ol>\n<li>All University workspaces are institutional resources. Workspace assignment does not create ownership, permanent occupancy rights, or an entitlement to a specific workspace, furniture configuration, or workspace type.<\/li>\n<li>Space Management allocates workspaces to units, maintains the official record of space assignments, establishes and applies space standards, evaluates utilization, approves workspace changes, and reassigns workspace when necessary to support University priorities, operational needs, safety, or efficient space utilization.<\/li>\n<li>Units may assign specific workspaces to individual employees within the space allocated to the unit by Space Management and in accordance with this policy and applicable procedures. Supervisors must notify Space Management of individual workspace assignments upon initial assignment and when any changes occur, including reporting vacant workspace.<\/li>\n<\/ol>\n<p>C.\u00a0\u00a0\u00a0 Workspace Assignment<\/p>\n<ol>\n<li>Workspace assignments must be based on a prioritization of University needs rather than individual or unit preference or historical occupancy.<\/li>\n<li>Space Management and units must consider the following factors when allocating and assigning workspace:\n<ol>\n<li>a.\u00a0\u00a0\u00a0\u00a0 <b>On-campus frequency:<\/b> the employee\u2019s regular on-campus in-person work frequency.<\/li>\n<li>b.\u00a0\u00a0\u00a0 <b>Role requirements:<\/b> confidentiality, student service requirements, frequency of in-person meetings, supervision, collaboration, public-facing duties, and other documented work requirements.<\/li>\n<li>c.\u00a0\u00a0\u00a0\u00a0 <b>Operational needs:<\/b> unit continuity, service delivery, adjacency needs, schedule coordination, staffing patterns, peak periods, and institutional priorities.<\/li>\n<li>d.\u00a0\u00a0\u00a0 <b>Space availability and standards:<\/b> current inventory, space standards, capacity, building configuration and constraints, and utilization data.<\/li>\n<li>e.\u00a0\u00a0\u00a0 <b>Safety, accessibility, and compliance: <\/b>fire and life safety, information security, records confidentiality, disability accommodations, and applicable policies.<\/li>\n<\/ol>\n<\/li>\n<li>Space Management may change workspace allocations, and units may change workspace assignments, when the factors listed above change.<\/li>\n<li>On-campus work frequency guides workspace assignments.\n<ol>\n<li>a.\u00a0\u00a0\u00a0\u00a0 Employees who regularly work on campus five or more days per week may be assigned a Dedicated Workspace.<\/li>\n<li>b.\u00a0\u00a0\u00a0 Employees who regularly work on campus three to four days per week may be assigned a Dedicated Workspace or a Shared\/Rotational Workspace.<\/li>\n<li>c.\u00a0\u00a0\u00a0\u00a0 Employees who regularly work on campus zero to two days per week, employees approved to work fully remotely, and field-based or seasonal employees may reserve Touchdown Workspaces as needed.
