October 2022 Travel Optimization Update
As anticipated, September saw an increase in travel requests as activity picked up—for both booking and reimbursement services. It was our busiest month yet with 827 new service requests! The following are key updates and reminders for the month:
Cases requiring a rework delay the processing of ALL cases. Please review the Top 3 Contributors to Reimbursement Rework article to help prevent:
- Incomplete information and documentation
- Inaccurate accounting information
- Policy violations
Travel training continues.
- October’s training schedule is available online.
- A recorded version of travel training will be available by the end of October and posted online.
- A more robust online training is being evaluated and is anticipated to be published in January.
Metrics are updated for September and two additional measurements have been added:
- Travel Cases by Cabinet and Branch by Type of Case
- Aging of Cases Submitted Post-Travel
- Post-Travel cases represent travel that has not been approved prior to travel and are subordinate in processing priority to travel booking requests. Further, as these cases do not comply with university policy to have prior approval for travel, they will experience longer processing timelines.

The RPS Alignment document with contact listings is revised due to staffing changes.
Coming soon:
- Mouse-over help “tips” in the Employee Service Center (ESC) anticipated for November.
- Metrics trend reporting anticipated for January.
- Continuous system and process enhancements improving data quality and availability for metrics anticipated to begin in January.
- Migration of the Justification for Exception to Policy (J4E2P) process into the Employee Service Center (ESC) anticipated for January will:
- Represent a new service in the ESC.
- Eliminate the OnBase J4E2P process.
- Integrate requests into the travel case.
