Personnel requests frequently asked questions


All position requests must come through the respective Office of the Dean. If you have a request, please speak with your dean.

  1. Occurs one-time per year, typically during the fall semester.
  2. When the email communication is sent by the Office of the Provost, follow the steps for the annual submission of college-wide requests. This communication will also be placed on our website.
  3. This applies to both new and replacement position requests.

  1. If the resignation or retirement is before the annual submission, wait and submit a request during the designated annual process.
  2. Resignations and retirements that occur after the annual submission date should be submitted the following year.
  3. Interim career track faculty coverage can be requested.

Please review this website in its entirety first. If questions remain after your review, you may reach out to the Vice Provost for Faculty Affairs or the Chief of Staff for the Office of the Provost.

All requests are received by the Office of the Provost are considered to be coming directly from the dean. Dean’s Office staff completing the form on behalf of the dean should ensure that the dean is aware of and approves the request.

  1. Microsoft form is located here
  2. All faculty requests (urgent replacements that must be addressed mid-year)
  3. All new and replacement staff requests
  4. Title or role changes for a staff replacement
  5. TRIF funding (AWD or VPR)

The following scenarios can be completed by working with HR through the Employee Service Center:

  1. Non-competitive selection for a position: Office of the Provost approval will be required later in the process.
  2. Salary adjustments, special assignments, and reclassifications: Office of the Provost approval will be required later in the process.

  1. Colleges have internal processes for their own personnel requests, work with the Office of the Dean to understand approach(es)
  2. Prior to submitting a Microsoft form, the dean and ADO should clearly understand rationales for requests and be available to answer questions
