Tagged assets include:<\/p>\n<ul>\n<li><strong>Capital assets<\/strong> (original acquisition value at or above the current capital threshold of $5,000)<\/li>\n<li><strong>Non-capital, sensitive items<\/strong> costing less than $5,000<\/li>\n<li><strong>Leased equipment<\/strong><\/li>\n<\/ul>\n<p><strong>Property Administration<\/strong> oversees and coordinates the inventory process. Each department is responsible for conducting its own physical inventory and works with Property Administration to complete the count. Upon completion, departments submit their inventory results to Property Administration.<\/p>\n<h2>Inventory Process<\/h2>\n<p>The physical inventory includes:<\/p>\n<ol>\n<li><strong>Sighting each asset<\/strong><\/li>\n<li><strong>Verifying location and description<\/strong><\/li>\n<li><strong>Reporting discrepancies or changes<\/strong><\/li>\n<li><strong>Reconciling with the University\u2019s fixed asset inventory system<\/strong><\/li>\n<\/ol>\n<p>Property Administration will perform <strong>spot checks on 15% of each department\u2019s inventory<\/strong> to verify accuracy. Any changes noted in the department\u2019s report will be used to update asset listings. Asset updates can also be made at any time using a PCA form for changes in location or ownership.<\/p>\n<p><strong>Department Responsibilities:<\/strong><\/p>\n<ul>\n<li>Assign a <strong>custodial administrator<\/strong> to oversee accurate and timely completion of the inventory.<\/li>\n<li>If the custodial administrator leaves, a new administrator must be assigned and Property Administration notified with their <strong>name, phone number, and email<\/strong>.<\/li>\n<\/ul>\n<p><strong>Inventory Timeline:<\/strong><\/p>\n<ul>\n<li>Departments will receive an email from Property Administration with the <strong>inventory start date<\/strong>.<\/li>\n<li>Inventory must be completed <strong>within 30 days<\/strong> of the start date.<\/li>\n<\/ul>\n<p><strong>Inventory Tasks:<\/strong><\/p>\n<ol>\n<li>Access reports through <strong>Enterprise Reporting<\/strong><\/li>\n<li>Physically verify each asset<\/li>\n<li>Correct and update missing or inaccurate information<\/li>\n<\/ol>\n<p>Departments are also responsible for maintaining <strong>home-use records<\/strong> for University equipment leaving campus for two weeks or more.<\/p>\n<p>If the inventory report is blank, email <strong>NAU-PropertyAdmin@nau.edu<\/strong>.<\/p>\n<!-- shortcode-accordion -->\n<div class=\"shortcode-accordion shortcode-accordion--closed\" style=\"position: relative;\" >\n        <a class=\"shortcode-accordion__trigger\" data-header=\"Running an Inventory Report in Enterprise Reporting_0\" href=\"#\">\n      <div class=\"shortcode-accordion__header\">\n          <h4>Running an Inventory Report in Enterprise Reporting <span class=\"screen-reader-text\">Accordion Closed<\/span><\/h4>\n          <span class=\"shortcode-accordion__header__arrow\"><\/span>\n      <\/div>\n    <\/a>\n    <div class=\"shortcode-accordion__body\">\n        <!DOCTYPE html PUBLIC \"-\/\/W3C\/\/DTD HTML 4.0 Transitional\/\/EN\" \"http:\/\/www.w3.org\/TR\/REC-html40\/loose.dtd\">\n<html><body>\n<ol>\n<li>Ensure you have <strong>Enterprise Reporting access<\/strong>.\n<ul>\n<li>If not, email <strong>Reporting@nau.edu<\/strong> to request an account.<\/li>\n<\/ul>\n<\/li>\n<li>Navigate to <strong>NAU.edu &rarr; Enterprise Reporting Solutions (ERS) &rarr; Log In &rarr; Document List<\/strong><\/li>\n<li>Open <strong>Public Folders &rarr; Financial Management &rarr; Purchasing &rarr; Asset Inventory<\/strong><\/li>\n<li>Enter your <strong>department&rsquo;s inventory Speedchart number<\/strong> under &ldquo;Type Value Here&rdquo; and click &gt; to run query<\/li>\n<li><strong>Save to Excel<\/strong> and enable editing<\/li>\n<li>Insert a <strong>Working Column<\/strong> at the far left<\/li>\n<li>Apply <strong>all borders<\/strong> and keep the font <strong>no smaller than 10<\/strong> for readability<\/li>\n<\/ol>\n<p><strong>The report will contain:<\/strong><\/p>\n<ul>\n<li>Items previously reported missing with PCA forms will show as &ldquo;MISSING&rdquo; with the PCA number.<\/li>\n<li>Assets without a room number will display &ldquo;TBP&rdquo; (To Be Provided). Use the following codes:\n<ul>\n<li>X = Located during current inventory<\/li>\n<li>M = Missing (1st or 2nd year)<\/li>\n<li>I = Impaired<\/li>\n<\/ul>\n<p><strong>Other instructions:<\/strong><\/p>\n<ul>\n<li>Update building, room, or detailed location in<strong> RED<\/strong><\/li>\n<li>If an asset tag is missing, indicate <strong>&ldquo;Retag&rdquo;<\/strong> and verify the serial number<\/li>\n<li>Assets found but not on the inventory report should be added at the end with a note <strong>&ldquo;found, not on inventory sheet&rdquo;<\/strong><\/li>\n<li>For <strong>transferred assets<\/strong>, list the PCA number and include the completed PCA form with signatures from both releasing and receiving parties<\/li>\n<li>For <strong>missing assets<\/strong>, PCA forms must include signatures from <strong>Dean\/Director and Vice President\/Provost<\/strong>.
