{"id":2966,"date":"2018-09-17T03:58:02","date_gmt":"2018-09-17T03:58:02","guid":{"rendered":"https:\/\/in.nau.edu\/its\/epass\/"},"modified":"2026-03-16T16:50:32","modified_gmt":"2026-03-16T16:50:32","slug":"epass","status":"publish","type":"page","link":"https:\/\/in.nau.edu\/its\/epass\/","title":{"rendered":"Electronic PeopleSoft Administrative Security System (ePASS)"},"content":{"rendered":"<h3>Electronic PeopleSoft Administrative Security System (ePASS)<\/h3>\n<hr role=\"separator\" class=\"hr--transparent hr--transparent-15px not-in-view\">\n<p>The ePASS (Electronic PeopleSoft Administrative Security System) is an electronic form within Northern Arizona University\u2019s PeopleSoft LOUIE HR system that allows for paperless administrative security requests and security revocation.<\/p>\n<p>An ePASS form is usually initiated by an NAU employee or affiliate requiring administrative access to one of NAU&#8217;s PeopleSoft systems (LOUIE Campus, LOUIE HR, or LOUIE Financials). An ePASS form can also be initiated by a supervisor (listed as employee&#8217;s reports to) or data steward on behalf of another user.<\/p>\n<p>After the ePASS is initiated, it will be routed for the appropriate approvals, notifications will be sent at various points in the process and, when complete, security will be automatically updated within PeopleSoft.<\/p>\n<hr role=\"separator\" class=\"hr--transparent hr--transparent-15px not-in-view\">\n<h4>Types of Forms<\/h4>\n<hr role=\"separator\" class=\"hr--transparent hr--transparent-15px not-in-view\">\n<div class=\"eplus-bg-color-row bg-color-extra-light-gray\"><div class=\"eplus-bg-color-row-content\">\n<h5 style=\"text-align: left\"><strong>Security Request<\/strong><\/h5>\n<p><span data-teams=\"true\">Used to add administrative access to one of NAU\u2019s PeopleSoft systems (LOUIE Campus, LOUIE HR, or LOUIE Financials)<\/span>.<\/p>\n<hr role=\"separator\" class=\"hr--transparent hr--transparent-15px not-in-view\">\n<h5 style=\"text-align: left\"><strong>Security Revocation<\/strong><\/h5>\n<p>Used to revoke access from one of NAU\u2019s PeopleSoft systems due to transfer, change in job duties, or termination.<\/p>\n<\/div><\/div>\n<hr role=\"separator\" class=\"hr--transparent hr--transparent-15px not-in-view\">\n<h4>How to use ePASS<\/h4>\n<div class=\"eplus-bg-color-row bg-color-extra-light-gray\"><div class=\"eplus-bg-color-row-content\">\n<h5>Before initiating an ePASS form<\/h5>\n<ul>\n<li>Ensure the following training has been completed.\u00a0<em>A security request form cannot be initiated for an individual who has not completed the FERPA Exam and the Information Security Essentials at a time; however multiple roles can be specified on a single form.<\/li>\n<\/ul>\n<h5>Initiating an ePASS form<\/h5>\n<ol>\n<li>Log in to <a title=\"LOUIE\" href=\"https:\/\/hr.peoplesoft.nau.edu\" target=\"_blank\" rel=\"noopener noreferrer\"><strong>LOUIE HR<\/strong><\/a> (We recommend using Microsoft Edge or Google Chrome).<\/li>\n<li>To submit a form for yourself in LOUIE HR go to the <strong>\u201cHR Home\u201d Page<\/strong> and click on the <strong>Employee eForms Tile<\/strong>, then go to the <strong>ePASS Home Page<\/strong>.\n<ul>\n<li>To submit a form on behalf of another person, under the <strong>\u201cHR Home\u201d Page<\/strong> go to <strong>Manager\/Department Dashboard<\/strong> and click on the <strong>Manage eForms Tile<\/strong>, then go to the <strong>ePASS Evaluation Home Page<\/strong>.<\/li>\n<li>In order to initiate a form for an employee you supervise, you must be listed as the \u2018Reports To\u2019 for their position. \u00a0For more information,
