Civitas

The Civitas predictive analytics tools look at several student data sources to provide a persistence prediction for each student based on key factors, experiences, and characteristics.

In order to request security for access to Civitas you must be one of the following:

  • Academic Advisor
  • Academic Advising Coordinator
  • Student Affairs Director
  • Data/Business Analyst
  • In a position responsible for student retention

If you do not meet any of these characteristics you will need to work with your supervisor to determine if access to Civitas is appropriate for your job responsibilities.


Civitas analytics tools

Civitas Inspire for Advisors Accordion Closed

The Civitas’ “Inspire for Advisors” tool provides a persistence prediction for each student based on key factors, experiences, and characteristics. Advisors and other support staff can use the tool to uncover information unique to each of their students and thereby be better at identifying and supporting those students who are unlikely to persist in their studies at the university. This tool is also a dynamic dashboard with filters for each advisor and Student Affairs student groups.

Civitas Illume Students Accordion Closed

The Civitas’ “Illume Students” tool displays dynamic persistence predictions by filtered population(s) (e.g., by campus, by terms completed, by demographics). It is a dashboard-type discovery tool that provides insights into at-risk populations by naming powerful predictors for those populations and displaying them in statistical plots and graphs.

Civitas Illume Courses Accordion Closed

The Civitas’ “Illume Courses” tool displays information about courses within which student performance is predictive of persistence and graduation.  It is a dashboard-type discovery tool that provides insights into courses that may be obstacles to student persistence and graduation.

Civitas Illume Impact Accordion Closed

The Civitas’ “Illume Impact” tool is an evaluate tool, designed to measure the impact of retention initiatives and programs. It relies on the institutional data in Illume Students to identify a matched group for a participant group and to analyze retention outcomes for participants compared to similar non-participants. The statistical technique is a variation of propensity score matching, which matches both a traditional propensity to participate score and the Civitas persistence prediction score.


Proxy roles

In order to gain access to any of these tools, you must submit an ePASS requesting one or more of the Civitas proxy security roles described below.

Role definitions Accordion Closed

NAU_CV Inspire for Advisors: Provides access to the Civitas “Inspire for Advisors” tool to pull data per student or student lists; specific student characteristics related to persistence. Requesting person is an academic advisor, academic advising coordinator, Student Affairs director, or other position that has direct responsibility for student retention/persistence. No student staff can request this security role. Training is required. For Phase I of the implementation, groups of staff will be identified and invited to training. This security role must be paired with the Salesforce NAU_CRM Oversight Support security role. If you are not currently assigned the NAU_CRM Oversight Support role, you can request this role at the same time you request the Inspire for Advisors access.

NAU_CV Illume Courses: Provides access to aggregated data in the Civitas “Illume Courses” tool, including insights about student performance in courses by primary major that may be influencing persistence through to graduation. Requesting person is an administrator or an analysts supporting departmental and campus persistence efforts.

NAU_CV Illume Courses Lists: Provides access to Civitas’ “Illume Courses” tool, which provides insights about student performance in courses by primary major that may be influencing persistence through to graduation.  This role also allows access to individual student level data related to enrollment in particular courses. Requesting person is an administrator or an analysts supporting departmental and campus persistence efforts.

NAU_CV Illume Impact:  Provides access to Civitas’ evaluation tool that uses data from Illume Students to assess retention efforts. Currently not available.

NAU_CRM CV Persistence Score: Provides access to Civitas’ student-level persistence probabilities within the Salesforce application. Requesting person is an academic advisor, academic advising coordinator, Student Affairs director, or other position that has direct responsibility for student retention/persistence. Training is required. For Phase I of the implementation, groups of staff will be identified and invited to training. Salesforce access is required for this role. If you do not have access to Salesforce you can request access at the same time you request access to the Civitas Persistence Score access.

Salesforce is a customer relationship management tool used by several groups at NAU to better manage the potential and current students.

ePASS

Anyone who needs access to Salesforce and Civitas must complete the required security request process known as ePASS.

FERPA

The Family Educational Rights and Privacy Act of 1974 (FERPA) is a federal law designed to protect the privacy of education records. Anyone who can access education records must complete the FERPA training.
