Utilizing Bb Learn for Content Collection and File Sharing at NAU
Sharing Large Files
When you need to share files that are too large to email, you can use the “Content Collection” feature of Blackboard Learn. Content Collection allows you to upload files to a web-based file system and email a link to a selected document to anyone in the world with an email address.
Logging into Content Collection in Bb Learn Accordion Closed
Open a web browser and navigate to bblearn.nau.edu. Select “Log in to Bb Learn“.
On the login screen, type your NAU User ID into the “User ID” field, and your NAU password into the “Password” field. Select “SIGN IN” to log into Bb Learn. If you are already logged into another NAU system, the login screen will not appear and you will be passed straight into the main Bb Learn site.
Select “Content Collection” in the upper-right hand side of Bb Learn.
Check Content Collection File Storage Quota Accordion Closed
Once you have logged into Bb Learn and entered the Content Collection area, your available and total quota will be present on the right-hand side below “Set Up Web Folder”. The “Available Quota” is the remaining file storage in your Content Collection. The “Total Quota” is the maximum amount of file storage in your Content Collection.

How to Upload Files to Bb Learn Content Collection
In the Content Collection screen, hover your mouse cursor over “Upload”.
In the menu that appears, select “Upload Files”.
If this is your first time uploading to Bb Learn, you will see a message similar to the one below. If this message does not appear, proceed to Step 6. Otherwise, select “Always run on this site” or something similar depending on your browser.
When you see the Java popup window, select “Run”.
When you see the next Java popup window, select “Yes”.
In the screen shown below, you can drag and drop the files and folders you would like to upload into the area indicated. You can also upload files by selecting the “Browse” button and browsing your computer for the files or folders.
Once you have selected the files you want to upload, you can scroll down to select options for the files. Check the check boxes to select the options. You can select any combination you want, or none at all. When you are finished, select the “Submit” button to upload your files to Bb Learn.

How to Create Folders in Bb Learn Content Collection
On the Content Collection screen, select “Create Folder”.
Type in a name for the folder and select “Create and Customize”.
Read through the options and select the ones you desire. Once you have selected the desired options, select the “Submit” button at the bottom of the page. You have successfully added a folder to your Bb Learn Content Collection.
After selecting the “Submit” button, you will be taken back to your list of files and folders. You can find the folder you have just created in this list.
Deleting Files and Folders Accordion Closed
How to Delete Files and Folders from Bb Learn Content Collection
On the Content Collection screen, select the check boxes next to the files and folders you want to delete. When you are finished, select “Recycle”.
A message will appear asking if you want to continue. Select “OK“.
*Note: This only moves the items to the Recycle Bin. If you want to permanently delete these items, proceed to Step 3. Otherwise, stop here.
To permanently delete the files and folders in the Recycle Bin, start by selecting “Recycle Bin” in the list of folders.
Click the check boxes next to the items you want to permanently delete. When you are finished, select “Delete”.
You will be given a message asking you if you really want to permanently delete the selected items. If you are sure you want to delete them, select “OK“. This will empty the items from the Recycle Bin.

How to Create and Email Passes for Shared Files in Bb Learn Content Collection
In your Bb Learn Content Collection, locate the desired file. Hover your mouse cursor over it, and click the arrow icon that appears next to the file name.
In the menu that appears, select “Passes“.
On the next screen, select “Create Pass”.
For the pass expiration, you have the option of “No expiration“, which allows you to create a permanent pass. The second option is to set a “Lifetime of Pass”. Use the “Select Permissions” drop down menu to select the desired permissions. The options here are “Read“, “Read/Write“, and “Read/Write/Delete“. When you are ready, select “Submit“.
To email the pass, make sure there is a check in the check box next to the desired pass, and select the “Email Pass” button.
On the next page, type the email address of the desired recipient into the “To” field. Type your “subject” and message. Then, select the “Submit” button to send the email.

How to Email Links to Shared Files in Bb Learn Content Collection
On the Content Collection screen in the list of uploaded files, check the boxes next to the desired files. When you are finished, select “Email Items“.
On the email screen, select the “To” button.
You can add any combination of users, groups, or email addresses as recipients of the email. Use the buttons as instructed. When you are finished, select “Submit“.
The “Subject” and “Message” fields should auto-fill with standard content. If they do not, type your subject in the “Subject” field and your email in the “Message” field. When you are finished, select the “Submit” button to send the email.
Download Files Accordion Closed
How to Download Files from Bb Learn Content Collection
In the Content Collection screen, click the check boxes of the files and folders you want to download. When you have checked everything you want, select “Download Package“. This will download the files and folders you selected as a single zip folder, which you can later extract to a file directory of your choice.
When you receive an email with a link to a Bb Learn pass, you will be taken to a page with options based on the permissions given by the pass creator. This guide will show how to navigate these options.
Reading Accordion Closed
After selecting the link in the email you received, a web page will open offering a list of options. Select “Read File” to view the contents of the file in your web browser window.
*Note: This only works if your browser can natively display the shared file type, or has a plugin to do so. If your browser is unable to display the file, you can still download it to your PC and open it with another application.
Edit Settings Accordion Closed
Select “Edit Settings” to go to the screen that allows you to change settings and lock options.
On the “Edit Settings” screen, you can change the file name, or place a check in the “Lock File” check box to lock the file. Select the “Submit” button to save your changes.
Overwrite Accordion Closed
Select “Overwrite File” to be taken to the screen for replacing the current file with a different one.
Select “Choose File” to browse your computer for a file to overwrite the current one with. Select the “Submit” button to overwrite the file.
Versions Accordion Closed
Select “Versions” to view changes made to the file.
You can find each version of the file in a list. Click the name of the desired version to view it.
Save File Accordion Closed
After selecting the link in the email, right-click the permanent URL of the file.
In the menu that appears, click “Save link as…” (or the equivalent option, depending on your web browser). This will allow you to save the file to your computer.
