Frequently Asked Questions

Will I be able to see the actual appraisal form? Accordion Closed

No, this tool is simply to provide information about when the last appraisal was completed and when the next one is due.

Why would an employee’s next review date show a past date? Accordion Closed

If the Next Review Date is already past, it just means that an appraisal was not completed for either the last annual cycle or for a probationary period. It will be important that the current supervisor ensure that an appraisal is completed for the employee by September 30, 2019.

To help clarify these on an individual basis, emails will be sent to individual supervisors about how to complete the appropriate appraisal and make sure the employee’s appraisal record is current.

One of the employees on my list is a transfer and hasn’t been here for very long. Who writes their appraisal? Accordion Closed

Often it can depend on when, in the year, they transferred to your supervision and whether they transferred from a completely different department or within the same department. HR will be contacting supervisors soon to help clarify who should write the appraisals when there is a transfer and how to navigate these situations. If you have specific concerns about the situation, please email HR Performance Appraisals with the details.

Do I have to request access to see my appraisal information? Accordion Closed

No, only those who want the departmental administrative view need to request the access through ePASS.  Individual classified staff, service professional and post-doctoral scholars can automatically see their appraisal information in LOUIE Self Service. Supervisors of those employee types automatically have access in Manager Self Service to view their direct reports and employees who report up to those direct reports. See the Training Guides for information on where to view the information or how to request the administrative view.

Who should request the administrative view access? Accordion Closed

Those administrative employees who may help a department head manage and monitor appraisal completion for the department would want to request the administrative view. Not every administrative employee needs the role and there should be discussion with the department head about which employees might help with that and need the role.

Will I be able to see all my appraisals from past years? Accordion Closed

No, the tool provides you information on the most recently completed appraisal.

Why doesn’t it list a supervisor for me? Accordion Closed

If there is no supervisor listed, it’s likely it’s either a mistake or there is a vacant position. In either case, talk with your department about temporarily assigning you a supervisor who can approve eROAs, timesheets, etc.

When in supervisor view, why are some of the employees in my chain of command missing? Accordion Closed

If an employee doesn’t have a supervisor assigned to them (due to either an error or a vacant position) they will not show up in the supervisor view. Talk with your department about updating the ‘reports to’ information or, if necessary, temporarily assigning a supervisor to those employees.

Why can’t I see the ratings when I am in administrative view? Accordion Closed

To protect confidentiality, administrative view does not include the ratings. It simply has the dates of the past appraisal, the due date of the next appraisal, and the listed supervisor.
