To help you plan an effective event we are here to support you.<\/p>\n<ul>\n<li>All club events must be pre-approved by the Office of Leadership &amp; Engagement, Unions and Student Activities Office (UAO), and\/or Campus Recreation<\/li>\n<li>Event requests must be submitted no later than 10 days <strong>prior<\/strong> to the event\n<ul>\n<li>Note: Events involving insurance or contracts can take several weeks to process<\/li>\n<\/ul>\n<\/li>\n<li>Event request forms can be accessed through <a href=\"http:\/\/nau.edu\/clubs\">True Blue Connects<\/a>\n<ul>\n<li><a href=\"https:\/\/in.nau.edu\/wp-content\/uploads\/sites\/203\/True-Blue-Connects-Basics.pdf\">True Blue Connects &#8211; Basics &#8211; Guide<\/a><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<h3>Before submitting the event request form<\/h3>\n<p>Prior to submitting the form, begin with the end in mind. What do you want your event to look like? Who will attend? What type of venue are you looking for? How will people find out about the event? They can help you in planning and thinking through logistics &amp; policy.<\/div>\n<\/body><\/html>\n\n    <\/div>\n<\/div>\n\n<!-- shortcode-accordion -->\n<div class=\"shortcode-accordion shortcode-accordion--closed\" style=\"position: relative;\" >\n        <a class=\"shortcode-accordion__trigger\" data-header=\"Submit an event form_0\" href=\"#\">\n      <div class=\"shortcode-accordion__header\">\n          <h4>Submit an event form <span class=\"screen-reader-text\">Accordion Closed<\/span><\/h4>\n          <span class=\"shortcode-accordion__header__arrow\"><\/span>\n      <\/div>\n    <\/a>\n    <div class=\"shortcode-accordion__body\">\n        <!DOCTYPE html PUBLIC \"-\/\/W3C\/\/DTD HTML 4.0 Transitional\/\/EN\" \"http:\/\/www.w3.org\/TR\/REC-html40\/loose.dtd\">\n<html><body>\n<div class=\"collapse jshide\">\n<p>To start the process, you will fill out and submit an event form online through True Blue Connects by following these steps:<\/p>\n<p>a) Go to&nbsp;<a title=\"nau.edu\/trueblueconnects\" href=\"http:\/\/nau.edu\/clubs\" target=\"_blank\" rel=\"noopener noreferrer\">nau.edu\/clubs<\/a>&nbsp;and log in using the blue button at the top.<\/p>\n<p>b) Click on the name of your organization under &ldquo;My Memberships&rdquo; on the main page.<\/p>\n<p>c) Click the &ldquo;Manage Organization&rdquo; button at the top right of the screen.<\/p>\n<p>d) You will see the name of your organization on the top left with a menu icon (three horizontal bars) next to it. Click the menu icon and then choose &ldquo;Events&rdquo; from the left menu, which will pop up.<\/p>\n<p>e) Click the blue button that says &ldquo;Create Event&rdquo; on the top right to fill out the form and submit your request.<\/p>\n<p>d) You must be listed on the roster and designated as an officer in order to submit the form&mdash;if you are not, you will need to talk with your President to get the roster fixed or contact the Leadership &amp; Engagement team if the President is not up to date. Advisors and coaches <strong>cannot<\/strong> submit event forms.<\/p>\n<p>e) Once submitted, the Leadership &amp; Engagement team reviews. We will make comments on the event should we have questions, which you will need to respond to. Once we give the event our thumbs up, it goes to the Unions &amp; Activities office (UAO) or Campus Recreation for final review. They will work to secure the location, and manage logistics of the event. They also will comment on the request and can&rsquo;t move forward to approve unless all is responded to.<\/p>\n<p><em>Note: Sport Clubs and Fraternity &amp; Sorority Life have additional reviewers. If they cannot reserve it directly, they typically know who to call and can help facilitate that contact. If you are not sure where you would like to hold your event, they can also provide information about different spaces, including capacity and costs.<\/p>\n<\/div>\n<div class=\"collapse jshide\">The Unions and Student Activities Office (UAO) reserves tabling space inside and outside the Union, DuBois Center, and HLC using the same event request form detailed above. If you are planning an event where food will be served you must contract with Campus Dining to prepare and provide the food. You can view the catering menu and place your order&nbsp;<a title=\"online\" href=\"https:\/\/northernarizona.catertrax.com\/\" target=\"_blank\" rel=\"noopener noreferrer\">online<\/a>. You may want to check out the &ldquo;Kick Axe Jacks&rdquo; menu, which is designed to be budget-friendly and for clubs\/organizations only. Catering should be ordered at least a week before your event.<\/p>\n<p>If you have a special need\/request or special circumstances, such as food being donated for your event, you should work with Unions and Student Activities (UAO) staff to request a <a href=\"https:\/\/onbase.nau.edu\/UnityForms\/UnityForm.aspx?d1=AVrrkVl3ZxpwAyOfSslaQMvbzgbfrUvHBr5xlob1rDYc94XntUm0d856%2BO0xnGTYv%2BLwRBeqnpFaoS0JBqHj4d2uwTxyX3VjApHlYK1hV8SmLIN8N5V0X3vac%2B8eguigADangeki52HPPX62U0RYjc1BlxrNRjQoywnxE6H5dr5Ny7tq6zLfo%2F4sVxom9sGUfTLk9p20HFuSsROGXQp7B0sSFFFY4ZgatC916%2FElrtX%2FxeNoEjOHLBUMc%2ByajPsaWtr72u9SKdzpDQrIGRlzYKw%3D\">waiver<\/a> of the food service requirement. Waivers may be granted if the food to be served is pre-packaged and sealed, if there is no charge to attend the event, and if food will not be sold to participants. Staff will then work with the speaker or vendor and our own university risk management staff to meet contract and insurance needs. The contract and insurance process can take at least 30 days, so please plan ahead and allow plenty of time for approval.<\/div>\n<div><\/div>\n<div class=\"collapse jshide\">There are only a few people who have the authority to enter Northern Arizona University into a contract. You may need to contact other offices or provide additional paperwork to verify that these have been taken care of. If you plan to apply for funding from sources such as ASNAU, STAC, Sodexo, etc., make sure to complete those applications well in advance of your event. Unions and Student Activities (UAO) and Campus Recreation may not approve large or expensive events if they cannot verify that your organization has funds to cover the whole cost.
