ePOST Frequently Asked Questions

1. I’m new to the Initiator role. How do I initiate a new ePOST? Accordion Closed

You can refer to either the Initiator tutorial video or our Initiator training guide document to walk you through how to begin a requisition.  If you have further questions, please contact your Employment & Compensation Analyst.

2. I’m new to the Approver role. How do I approve an ePOST? Accordion Closed

You can refer to the Approver’s training guide document to walk you through how to approve a requisition.  If you have further questions, please contact your Employment & Compensation Analyst.

3. How do I request a new position number? Accordion Closed

The Budget Office has a form with which you can request a new position number.  They also have a helpful how-to guide for using their Position Request form.

4. Ho do I add additional position numbers to my vacancy? Accordion Closed

When in the ‘Job Information’ tab, scroll down to the box titled ‘Positions’ and click on Add Position.   You will need to either type in the position number or use the magnifying glass to search for the position number.  Once you have added the position number, please click Save.  If you need additional assistance, please contact your Employment & Compensation Analyst.

If you are wanting to add a position number after the position has been posted to the web, please contact your Employment & Compensation Analyst.

5. How do I change the title on a vacant position before I post it? (i.e. I have a vacant Administrative Assistant position, and I want to change it to Administrative Associate.) Accordion Closed

If you would like to change the job title associated with your vacant position number, please contact your Employment & Compensation Analyst and we would be happy to assist you with facilitating that change.

6. If I make changes to the job description while the ePOST is being approved, will the form automatically re-route for approvals? Accordion Closed

No.  The form will only re-route for approvals when a ‘trigger field’ has been changed.  If you make any changes to the job description, we recommend including a comment on the ePOST to communicate to approvers that a change has been made to the description.  Trigger fields include:

  • # of Target Openings
  • Job Code
  • Position Number
  • Salary Administration Plan
  • Salary
  • Full-time/Part-time
  • Regular/Temporary
  • Standard Hours

7. What changes will cause the ePOST to re-route? Accordion Closed

The form will re-route for approvals when a ‘trigger field’ has been changed.  Trigger fields include:

  • # of Target Openings
  • Job Code
  • Position Number
  • Salary Administration Plan
  • Salary
  • Full-time/Part-time
  • Regular/Temporary
  • Standard Hours

8. If I have previously posted this position, and how do I copy an old posting? Accordion Closed

We call this process “Cloning” a job posting.

An initiator can clone a position by searching for the job opening which you want to clone.  When you have found the position you wish to clone, open the job opening.  Select the ‘Activity & Attachments’ tab.  At the top of the page, you will see an option that says ‘Clone’.  Select this option.  Enter any requested information.  If you are cloning a position that is older than the implementation of the ePOST, it will request that you complete the ‘Appointment Period’ and ‘Posting Audience’ fields.

A new window will open where you can edit the Posting Title for the position.  Make any necessary changes and select ‘Clone’.  (If there are no changes to be made, simply select ‘Clone’.)  You will get a message stating “Job Opening successfully cloned”, which contains a link to the new job opening.  Click on that link to take you to the new job posting.  Once you are in the new job opening, you can make any adjustments and/or changes necessary.

Please pay close attention to updating the following fields which may have changed since the last time this position was posted:

  • Salary range
  • Appointment Period
  • Employment Period Limitation
  • Posting Audience
  • Job Description
  • Application Deadline

9. How do I clone a position? Accordion Closed

10. How do I cancel a posting? Accordion Closed

If you have a failed search or no longer have a need to fill the vacancy, please contact your Employment & Compensation Analyst and we would be happy to assist you with facilitating the cancellation of your posting.

11. I created a draft posting and would like to delete it. How do I go about deleting the posting? Accordion Closed

If you have created a draft of a posting in error and would like to delete the draft, go to Search Job Openings and search for the Job Opening.  Scroll down to the bottom of the “Job Information” tab.  You will see a “Delete” button to the right of the “Save as Draft” button.  Click this button.  If you have already submitted the form for approval, this will not be an option.  If you have any questions, please contact your Employment & Compensation Analyst.

12. My ePOST is pending approval, but I would like to withdraw the form. How do I withdraw the form? Accordion Closed

There are two ways that you can “withdraw” an ePOST.  1.  You can contact the approver whose worklist the form is in and ask them to deny the form.  2.  You can contact your Employment & Compensation Analyst who can stop the form.
