Student information

Because student information is confidential, we must be very careful about how we handle it. We must ensure information is secure at all times no matter what format or media it is in.

Never leave your desk without locking your system or logging out of University applications, such as Louie/PeopleSoft, Advantage and Business Objects.

Never leave reports, forms, grade books, tests, student ID photos, or other paperwork in plain view on your desk.

It doesn’t matter whether you are stepping away for just a minute or leaving for the day; any paperwork containing identifiable education records must be locked away in files to be sure they are secure.

Be extra careful not to leave sensitive information on the printer, copier or fax machine.

When discarding reports or other paperwork, shred the documents before recycling them.
